Begin with the people on both sides
You can ask for help before you have every document. Tell us where your loved one is now, which city in India the family has chosen and who can discuss the arrangements there. If a funeral home or medical examiner already has custody, share that office’s contact details with the arranging director.
Ask for a case review before treating any route as available. This guide explains the research and planning steps; a callback request does not confirm transport to India. The responsible authorities, carrier and receiving provider must accept the actual arrangements.
Houston consular documents
The Indian consulate in Houston lists death registration and passport cancellation for Indian nationals. Its body-transport checklist includes the death certificate stating cause, embalming certificate, infection-free certificate from the relevant local authority and burial/transit permit. For ashes, it lists death and cremation certificates. The applicant also needs identity and authorization documents; the exact requirements depend on who applies.
Tell the consulate if citizenship, passport availability or OCI status needs clarification. Do not assume a checklist for an Indian passport holder answers a different case. Ask which originals, copies and authentication are required before sending an irreplaceable document.
eCARe and the airport handoff
India’s eCARe portal handles health clearance. Its December 2025 FAQ distinguishes document review, transport details and provisional clearance from final airport clearance. It covers ashes as well as bodies; ashes have their own documentation and baggage/cargo choices. Clearance may occur at the first Indian arrival airport, even when the final city is elsewhere. Choose one person to manage the application and share its status with the arranging and receiving providers. Ask who checks the original documents at arrival and who contacts the family once release is complete. An airline booking and an airport release are different milestones.
Plan beyond the arrival airport
Write down the final destination, the intended arrival airport and any connection. Ask the carrier and receiving provider to confirm whether the same booking covers every transport leg and where responsibility changes. Do not choose a route solely because a passenger flight goes there.
- Who is named to receive the remains, and how can that person be reached?
- Who handles onward travel to the family’s city?
- Which documents travel with the shipment, and who keeps copies?
- Who updates the family if a connection or arrival changes?
Share the family’s wishes for prayer, viewing, burial or cremation before preparation decisions. Traditions differ between families; describe your own needs rather than expecting the provider to infer them.
Request a quote for the whole journey
Ask for separate written amounts for care and preparation in Texas, documents, the transport container, air cargo, receiving services and onward travel in India. Identify any amount that remains an estimate and who can authorize an additional charge.

If the family plans to return ashes
Say clearly whether a relative will carry the urn or whether it will travel as cargo. Ask the consulate, health-clearance contact and airline to confirm that particular method. Keep the person carrying the ashes involved in the document and packing discussion before a ticket is purchased.
